BOOKING TERMS & CONDITIONS
These Terms and Conditions form a legally binding agreement between Hike Kilimanjaro Ltd. and the client. By booking a trip with us, you agree to the terms outlined below.
Booking & Payment
To confirm your booking, a 30% deposit of the total trip cost is required.
- The deposit is non-refundable but can be used as a credit for future trips.
- The remaining balance must be paid at least 40 days before the trip start date.
- Bookings can be made via our website, email, or authorized partners.
All prices are quoted in USD.
Last-Minute Bookings
- Kilimanjaro treks: Accepted up to 10 days before departure, subject to availability.
- Safari tours: Accepted up to 20 days before departure, subject to availability.
Full payment is required for all last-minute bookings and is non-refundable.
Payment Methods
We accept:
- Bank transfer
- Credit/Debit cards (processing fees may apply)
- Secure online payment platforms (e.g., WeTravel)
- Cash payments (USD, EUR, GBP – clean, recent notes only)
All transaction fees are the responsibility of the client.
Cancellation & Refund Policy
- More than 20 days before departure:
30% deposit is retained; remaining balance refunded. - Less than 20 days before departure:
100% cancellation fee applies (no refund).
Rescheduling
Trips may be rescheduled with at least 20 days’ notice.
- A USD 200 per person fee applies for changes (date or name transfer).
- New dates are subject to availability.
Incomplete Trip
No refunds will be provided for unused services if a client leaves the trip early for any reason.
Travel Insurance (Mandatory)
All clients must have valid travel insurance covering:
- Medical emergencies
- High-altitude trekking (Kilimanjaro)
- Emergency evacuation
- Trip cancellation/interruption
Hike Kilimanjaro Ltd. is not responsible for costs not covered by insurance.
Health & Fitness
Clients must be in good physical condition for trekking.
- A medical check-up is recommended before travel
- Any medical conditions must be disclosed at booking
Passport & Visa
- A valid passport (minimum 6 months’ validity) is required
- Tanzania visa is the responsibility of the client
Unforeseen Circumstances
We are not responsible for changes due to events beyond our control, including:
- Weather conditions
- Government regulations
- Flight delays or cancellations
- Natural disasters
Any additional costs arising from such events are the client’s responsibility.
Risk & Responsibility
Adventure travel involves risks, including injury, illness, or loss.
By booking with us, you acknowledge and accept these risks.
Hike Kilimanjaro Ltd. is not liable for any personal injury, loss, or damage during the trip.
Accommodation & Single Supplement
Trips are based on shared accommodation.
Single rooms/tents are available at an additional cost.
Children Policy
Participants under 16 must be accompanied by a parent or legal guardian.
Privacy Policy
We respect your privacy and protect your personal data.
Your information will only be used for booking and trip operations.
Media & Marketing
By joining our trips, you agree that photos/videos taken during the trip may be used for promotional purposes without compensation.
Client Conduct
We reserve the right to remove any participant whose behavior is disruptive or unsafe.
- No refunds will be provided in such cases
- The client must pay any damages caused
Complaints
Any issues must be reported immediately to our team so we can resolve them promptly.
Acceptance of Terms
By booking a trip with Hike Kilimanjaro Ltd., you agree to these Terms and Conditions.
Governing Law
These terms are governed by the laws of the United Republic of Tanzania.
